Construction Administrative Assistant - Equity Office

Equity Office is an owner and operator of primarily Class A office buildings in multiple markets across the country. The company is an affiliate of the Blackstone Group, a premier global private equity firm.

JOB RESPONSIBILITIES:

  • Provides administrative support to the project management team, including TI process administration, reporting (construction management fees, TI variance and costs, EEs), permits and approvals as well as lien waivers, building standard notebooks (finishes, signage), meeting coordination, T & E preparation, etc.
  • Maintains building construction rules and regulations.
  • Produces TI contracts and ensure that all timelines are met with signatures, etc.
  • Prepares the TI File and maintains it from project inception to closing.
  • Maintains all general contractor and preferred subcontractor COI's and ensure that all parties involved are insured appropriately, in conjunction with Administrative Assistant.
  • Provides TI project reports including all tracking sheets, change orders and invoices - in effort to communicate costs and schedule.
  • Distribute schedules to engineers and management.
  • Reviews invoices and obtains appropriate approvals.
  • Reconciles project total cost with Managers-Project Mgmt
  • Prepares TI Close Out Packages, including Lien Releases and as-builts.
  • Maintains communication with tenants, i.e., preparing signage (Directory Strips, Plaque/Suite signage, Monument/Building) by building standard signage specification notebooks for Work in Progress, contacting them with any information pertaining to project Tenant Memos, may maintain the EQA Program, etc.
  • Provides all move-in information to tenant (i.e., "Move-in Coordinator") and schedules actual move, in accordance with building requirements, coordinating efforts with property management team.
  • Performs miscellaneous tasks as required (i.e., assists in the preparation of TI/Leasing meeting minutes and agendas, filing).

QUALIFICATIONS:
High school education or equivalent, minimum of five years administrative experience, proficiency with Microsoft Office. Strong prioritization and organizational skills, ability to multitask, team
player.
