Assistant Real Estate Manager
The Property Assistant reports to the Real Estate Manager or Senior Real Estate Manager and provides a variety of clerical and administrative support services to the Property Management Team. The individual in this position works closely under the direction of the Real Estate Manager or Senior Real Estate Manager, and the duties and responsibilities may include assisting with budgeting, financial reporting, billing rent, collecting rent, accounts payable, vendor services, and maintaining files.
Duties and Responsibilities
- Supports the planning, budgeting and control of operating and capital expenditures. Assists in the preparation of annual budgets, forecasts, monthly reports, and variance reports.
- Assist with accounts receivable and accounts payable, including collection of rent, accruals, payment of expenses, common area maintenance estimates, true-ups, reconciliations, compliance with lease terms, and preparation of all related documentation.
- Responds to customer requests and needs and coordinates with Property Management Team to assist in resolving issues.
- Assist in the selection and performance of vendor services, including preparation of request for proposals and service agreements. Monitor vendor performance to ensure compliance and standards established in the service agreement are being met.
- Responsible for scheduling and facilitating maintenance with vendors and customers.
- Document and track all certificates of insurance from vendors and customers.
- Maintain accurate and pertinent information for vendors and customers.
- Prepare correspondence and memos to customers and vendors.
- Establish and maintain positive relationships with internal and external customers and vendors.
- Maintain all lease and property related files.
- Answer and direct incoming calls.
- Open and distribute incoming mail.
- Schedule and coordinate meetings and customer events.
Experience:
- Candidate will possess a minimum of three years related experience
- Proficient in Microsoft Word and Excel
- Ability to express ideas clearly in written and verbal communications
- Strong organizational skills and detail oriented
- Proven record of providing excellent internal and external customer service
Education: Bachelors Degree, preferably in business, real estate, or finance
